GuestLink (“GuestLink”, “we”, “us”, or “our”) is an event guest management platform operated by Ola, sole proprietor, based in Vaughan, Ontario, Canada. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website (guestlink.ca), our application, and our email/SMS messaging services (together, the “Service”).

1. Information We Collect

We collect the following categories of information:

  • Account information — name, email address, and hashed password provided by event hosts when creating a GuestLink account.
  • Event information — event name, date, time, location, description, and any custom branding supplied by the event host.
  • Guest information — guest names, email addresses, and mobile phone numbers uploaded by event hosts for the sole purpose of delivering invitations, RSVP confirmations, reminders, check-in notifications, and thank-you messages related to the specific event.
  • Communication metadata — timestamps and delivery status of messages we send on a host’s behalf.
  • Payment information — processed by Stripe. GuestLink never stores full card numbers.

2. How We Collect SMS Opt-In Consent

GuestLink sends SMS messages on behalf of event hosts for event-related communications, such as ticket confirmations, RSVP updates, event reminders, check-in notifications, and thank-you messages.

Direct web-form opt-in. When an individual registers for an event through a GuestLink registration form, SMS consent is collected directly from that individual through a separate, optional SMS consent checkbox. The checkbox is unchecked by default and clearly describes the types of messages, message frequency, message and data rate disclosure, and available STOP and HELP commands. Consent to receive SMS messages is not a condition of purchasing a ticket or registering for an event.

Host-provided guest information. Event hosts who upload a guest list or enter a guest’s mobile phone number into GuestLink represent and warrant that they have obtained the required prior express consent from each guest before providing that number to GuestLink. GuestLink does not use mobile numbers supplied by hosts for marketing or promotional SMS unless the individual has separately provided express consent for that purpose.

SMS / Mobile Communications

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

If you opt in to receive SMS messages from GuestLink, we may send event-related messages, including ticket confirmations, RSVP updates, event reminders, check-in notifications, and thank-you messages. Message frequency varies; most guests receive between 1 and 5 messages per event. Message and data rates may apply.

You may opt out at any time by replying STOP to any GuestLink SMS message. After you reply STOP, we will send one confirmation message and you will no longer receive SMS messages from that program unless you opt in again.

3. How We Use Information

We use the information we collect to:

  • Create and maintain host accounts and deliver the Service.
  • Send the following event communications on behalf of the host:
    • Event invitations (one per guest, per event)
    • RSVP confirmation messages
    • Pre-event reminders (typically 48 hours before the event)
    • Check-in welcome messages
    • Post-event thank-you messages
  • Process payments for paid event packages via Stripe.
  • Prevent abuse, debug issues, and secure the platform.
  • Comply with legal obligations.

4. SMS Program Details

  • Program purpose: GuestLink sends event-related SMS messages on behalf of event hosts, including invitations, ticket confirmations, RSVP updates, reminders, check-in notifications, and thank-you messages.
  • Message frequency: Varies by event. Most guests receive between 1 and 5 messages per event.
  • Message and data rates: Message and data rates may apply.
  • Opt-out: Reply STOP to any GuestLink SMS message to opt out.
  • Help: Reply HELP to any GuestLink SMS message for assistance or email [email protected].
  • Consent: SMS consent is not a condition of ticket purchase or event registration.
  • Carrier notice: Carriers are not liable for delayed or undelivered messages.

5. Sharing of Information

We do not sell personal information. We share information only with the following service providers, strictly as required to operate the Service:

  • Twilio — SMS delivery
  • Resend — email delivery
  • Stripe — payment processing
  • Our cloud hosting and database providers — to store and serve the application

These providers are contractually bound to handle information only for the purposes we direct.

6. Data Retention

Guest information is retained only for as long as needed to deliver the event and related messages. Event hosts may delete their events (and all associated guest data) at any time from their dashboard. Account data is retained until the host requests deletion by emailing [email protected].

7. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or export personal information we hold about you. To exercise these rights, email us at [email protected].

8. Security

We use industry-standard safeguards including TLS in transit, encrypted database connections, hashed passwords, and access controls. No method of transmission over the Internet is 100% secure, but we work hard to protect your information.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page.
